GW to Stan and Seth and Robin -- dug up last year's sponsorship pkg, will send, Robin to work on front-page prose, Seth and Stan and myself will work on numbers

Agenda:

2. General updates: Now have about 4 months left, time to kick it up a notch, excitement starting to build in the community for this conference, we want to meet or exceed those expectations

3. Logos -- Karen working on it, will send it off to list today. Pat: when it comes out, we should all say how great it is, and go forward

4. Phil Cojanis, re programming: need to talk to Planetary Society, make sure we're coordinated, going to follow up in next couple of weeks. Mark suggests also contact SSI they're recruiting speakers. Got off phone with Roger Angel U of Ariz, talked with Pete Worden, also a prof at U of Ariz, telescopes, other stuff, to get him to chair a track of high-level speakers. Sam: need to talk offline about space tourism discussion panel Phil: looking at this Orbit thing John sent out, how many hours of track time fill with space ttourism stuff John: Orbit award is Thursday, Space Tourism society venturing program on Thursday pretty much under control by David Knight couple of hours on fri, sat, sun, Frank: space art track, point of info: STS gala Thursday night? GW: David Knight is organizing Space Tourism Society program on Thursday things still up in the air: tours -- a few great ones, tours of Vandenberg etc. Pat: quick note, everybody coordinates all programming with Phil Frank: room reservations for programming? GW, Pat: yes. Phil: will create a form, who are the people, how many hours of track time, what are your facility and resource requirement? AV, tall room for Space Elevator -- a way to create a database. Sam: suggest, skeleton of outline of schedule? Mike Turney: web guy, intro to Phil

5. Responsibility reports: A Big Name Speakers -- invitations to to 80 speakers have gone out, signed by Hugh Downs. We'll forward out acceptances to the ISDC list Seth: early on talked to 2 potential speakers, Greg Benford, very interested, also Steve Oswald -- GW sent to Benford Sam: haven't gotten letter out to Steward Brand, GW: send me address, name

Kennda -- can we put our invitations in that second round of invites going out, get letter from Hugh Downs supporting Pat: coordinate with Phil Cojanis Kennda: call for papers does not list Minority in Space mini-conference GW: Dave Snead, can you take care of that? Dave checks, it's there. Kennda: how to do that? Dave Snead: the database for the call for papers Frank -- could deadline be extended to Feb 15? GW: anticipate we will, go ahead and announce to your list Phil: Kennda, want more info on your track, in contact with Magic Johnson re; funding Kennda phone, to update list 281-813-1385 -- will talk to Phil offline, before tuesday, before talk to our exec direc Phil: Frank, are you still working on more conventional space art topics? Frank: parabolic flight, Jon Raymer of IAAA, working with film curators on space art ... all of this is based on funding and our ability to get sponsorship Phil: get in touch with Don Dixon, art director of Griffith observatory, Frank: send emails to me or Lowery Burgess re anyone you want us to contact

B. Thursday night gala John Spencer: SEcond space tourism award show, fifth anniversary of Dennis Tito's flight, expecting about 400 people. Tito presenter, looking to get other tourists there to get their Tito awards. Pat: will you be at hotel 23rd for meeting, we need to look at rooms, make final decisions Phil: tracks in Grand Ballroom conflict?

C. Registration: Pat Registration working? 23 are registered PDF registration forms not working Dave: will hook that up, online is working

D Hotel: Pat meeting with hotel rep at 9:30 am on the Monday after the Sunday 23rd meeting. Sunday meeting room with phone at 3 o'clock GW: hotel registration now working, thanks Pat

E. Audio visual: Pat: Is Dennis on the call? No. Somebody from JPL didn't like the release form that Dennis used. Somebody from Stardust Mark: not sure Dennis is the one doing that. Craig? GW: Pat will get in touch with Dennis Phil: another company with a good reputation to recommend GW: Pat is the contact point for AV, can delegate to Dennis or whoever

F. Tours GW: Walt will be primary contact, meta-organizer for tours. Planetary is investigating commercial tour group. get info from me, liase with Planetary.

G. Website Mike: latest thing is Planetary Society coming up with document will send off email to specific people Seth: don't see any link from Planetary to conference website Jeremy: they're going to be making an announcement, will be sending to members in next few days, assume at that time it will appear on their website GW: sending to membership, will have full page ad in Planetary Report, they have a page now about ISDC Phil: are we going to make a standardized banner? link approved to place Karen: still plans to freshen up the ISDC site? Information to be reorganized, then handed over to me and Stephen Prater for redesign Jeremy: don't think any updates we make to the text of the site will affect redesign Sam: place for ads for other organizations? Jeremy: Stephen Prater has come up with great initial design of the layout GW: the way this will work, Phil is completing form that will be sent to all affilliate orgs, I have been verbally confirming with orgs, for example X Prize has confirmed and will do some serious stuff at the conference, I would like to see some kind of rotating gif with various sponsors Mike: want to make sure that items on list PPS for website are still my priorities, and that style and design will be up to Jeremy and all -- GW: responsiblity of anybody working on website to be sensitive to your navigational structure

Frank: investigating the possiblity of webcasting our track. Considering for the rest of ISDC GW: Not thinking a lot about it, except maybe for a few specific high profile talks, for instance Griffin, if he confirms If anybody has some ideas on that, coordinate with Jeremy Jeremy: love to, but significant cost involved, we can set up mirrors...?

H. Vendors Hank Murdoch not on the call. John Spencer will email Hank's phone # to Pat to contact him.

I. Affiliate organizations Ivor not on the call GW: long list, next step getting them to sign a one-page MOA to confirm our responsibilities. Kennda: for NSBE we'd like to invite affiliate organizations. Need to sign NSS moa? GW: NSBE invitees can just agree with NSBE Frank: there are affiliate orgs in space art track, and some of their involvement is economic, should we have the MOAs for them too? GW: leave it up to your discretion. my general philosophy is to cast the net as wide as possible, feel free to forward their logos and I'm sure we can recognize them in some way.

J. Corporate Sponsors Stan, Seth, Robin will get raw files for corp sponsor letters from last year. Robin look at front page and make it up to date. Stan, talk later in the week Stan: have you talked to John Spencer, has some good ideas for sponsors GW: John, if you think we need to talk more, GW: As part of normal corporate discussion, I've been prepping people for ISDC sponsorship

K. Corp Exhib skipped

L. PR Jeremy: new volunteers for the PR group, working on PR campaign, this week I'm working on calendar outreach and following through with some folks we've contacted, Mark: direct mail -- piece to all who attended ISDC 2005, and one to all NSS members within easy driving distance of conference, also a direct mail to all Planetary members in driving distance. Jeremy will discuss with Jennifer and Susan Jeremy: one more quick thing, re tours: met with Ed Coord of Ruben H. Fleet in San Diego, a big astronomy day on the same day as our ISDC, wanted NSS to do some stuff for that -- occurs that it might be a good tour, for families and kids who don't want to attend the conference -- GW: Route it through Walt, tours. GW: just found out that Astronomy Day is on the saturday of our conference, good idea to link with the amateur astronomy community in LA, think of some way we could do observing night, if anybody has any contacts

Spellman: Re tour of Vandenberg May 3, noting that CSA is doing a space day in Sacramento on May 2 Also to Jeremy, need to start contacting college papers, will track down the papers' addresses and send to Jeremy

Jeremy: point of contact for Developing Education Track? GW: Larry Evans generally -- as well as Ivor Kennda: also on the career fair, that would be a good draw for our membership, any way I could support, I'd like to GW: people doing that are Seth Potter and Joe Rauscher

Other Mike: index page of ISDC page locked, Robin Snelson's name is on it Robin: will try to unlock, accident

John S. In touch with Space Day? GW: in touch with Lockheed, they're waiting for concrete word of what we want to do.

GW: Virtual conferencing is not easy, but thanks for being a positive group. We will meet again in two weeks at the hotel George will be there by phone.
