The News
We did it! Now we have to figure out what we did right, what we did wrong, and what we can do better!
The goal is to disposition each item by assigning one or more actions as noted.
Please annotate the outline with what you think
ISDC 2006 What we did right!
1.Branding was very strong at the meal functions
Brett Silcox will work various committees to support this from Headquarters
Cooperation between space groups was strong
Brett Silcox will compile a complete list of participants
Gary Barnhard will compile as complete a list as possibleof potential sponsors/participants
New sources of revenue based on the hotel contract arrangements seem to have worked well
Media response was very good. TV van out front. Roving TV crews doing interviews. Live blogging and article submissions to online media.
Partnering with other organizations to cast a wider net for participants was a clear win.
ISDC 2006 What we did wrong!
We need to integrate the technical and artist tracks in a meaningful manner
will take point in making this so for ISDC 2007.
NSS branding in the sessions was lacking
Brett Silcox will research banner and portable display options to be supplied from headquarters for ISDC 2007.
will pull together a signage template and checklist for ISDC 2007.
NSS branding in the common areas was lacking
Brett Silcox will research banner and portable display options to be supplied from headquarters for ISDC 2007.
NSS branding in terms of concessions was lacking
Larry Ahern is working on a NSS table for next year
Brett Silcox will research banner and portable display options to be supplied from headquarters for ISDC 2007.
Food function accounting
Joe Redfield is working the numbers on this
Goal is that all food functions should at a minimum cover their costs.
Registration required too much behind the scences labor
SEE DATABASE WISH LIST BELOW!
Brett Silcox & Randall Severy will create a template that allows badges to be printed with all applicable function tickets and a pocket conference schedule either as a one sheet or as seperate sheets that are keyed by badge name.
How about a bar code with scanners at the door to the meal(?)
Some speakers were surprised at how little time they'd been given, with speakers added to the program up to the last minute.
Program chairs should be given direction to manage expectations in this area; close the program to new speakers at some point before the conference date.
Many sessions started late, and speakers ran long, making it difficult for attendees to catch some of the talks they wanted. Some speakers finished 30 minutes or more after their scheduled ending time.
Session chairs should be given tools and directions to keep speakers in line.
Failure to sufficiently market future conferences.
Ken Murphy should have been invited on stage at the close of as many food functions and plenaries as possible so that he could push sales for ISDC2007. It is essential to get people to start thinking about going next year because many of them may not be reached by the PR effort next year or not immediately connect in their minds that it is the same event.
The Board meeting schedule placed the vote on ISDC2008 on Sunday morning. This was too late for us to have an announcement at the awards banquet Saturday night. Again, it is essential that we play up the future conferences and do so officially whenever we have plenaries and food functions.
ISDC 2006 What we can do better!
Consider less tracks in afternoons.
Audio/Visual services were problematic
Phil is going to write the definitive review
An audio/visual services schedule needs to be setup in advance on a room-by-room, day-by-day, hour-by-hour basis.
An audio/visual equipment layout diagram should exist for each room.
All rooms should have a computer in addition to a projector.
Computer services/facilities were problematic
Gary & Hugh are going to write the definitive reviews
A computer services schedule needs to be setup in advance on a room-by-room, day-by-day, hour-by-hour basis.
An audio/visual equipment layout diagram should exist for each room.
Nail down the technical track chairs and fill out the tracks well in advance.
Block of time for new business early in the board meeting.
Get the board more engaged in the brainstorming/committee
Exhibitors should be able to get better placement - some were really out of the way this year.
ISDC 2007 Prioritize Database Wish List
Guest 1/2/3/4: Needs to be removed or each individual name needs to be integrated into the list alphabetical as a separate file.
The paypal confirmations need to say what exactly they registered for not just the amount paid(?).
Adding multiple options at one time for a person ie meals/tours/etc..
I full alphabetical record of what each persons registered for.
Cannot sign up online in the membership category if you are not current members in good standing.
Combine records function needs to combine payment and conference information into one record.
Pop up box after entering in the new information to send out email to person as a confirmation (ie a confirmation email that you are now registered for a meal/tour/etc. this must include what they are NOW registered for).
The nickname field on ISDC website: REMOVE, just enter first name as like to appear on name badge, or enter your full name as want to appear on name badge.
Database cuts or stops people from registering for meals/tours when the count hits a specific number.
